Student Portals & Career Tracking

Learner & Alumni Portals

The student experience extends well beyond the classroom. We design portals that centralise the learner’s academic journey, complemented by powerful networks for your graduates (Alumni).

01 — STRATEGIC CONTEXT

Learner & Alumni Portals

A student juggles between five different platforms: one to check their timetable, another for their marks, an obsolete intranet for administrative documents, an unofficial WhatsApp group for internship opportunities, and LinkedIn to find alumni. On the administration side, it’s worse: the registry re-enters data into three different systems, the careers service maintains an Excel file with 12,000 rows for alumni, and no one really knows how many graduates work in which sector or company.

Fundraising campaigns are launched blindly, without reliable segmentation. Business schools, engineering schools, universities and continuing education organisations all face the same observation: the learner experience is fragmented, and the post-graduation connection deteriorates for lack of suitable tools. Meanwhile, rankings value professional integration and network strength.

Accreditations require career path monitoring. And students compare their digital experience with that of Netflix or their online banking.

This solution belongs to the Customer & User Portals family.

02 — VALUE LEVERS

Challenges holding back your performance

The Transformation Opportunity:

Student portals within academic ERP systems are often static, designed for administration rather than for the end user. The result: teams resort to makeshift solutions using WordPress plugins, shared Google Sheets, or American SaaS tools that do not integrate with existing IT systems. The alumni directory resides in a general-purpose CRM that has been repurposed beyond its intended function, with no connection to academic records. Former students unsubscribe from newsletters because they fail to see the value. The internal job board remains empty as recruiters favour LinkedIn. When a potential donor calls, no one knows whether they have already been contacted or by whom. Each new academic year, the process begins anew to explain to incoming students how to access their information.

03 — THE APPROACH

Our Technical Approach

Our approach stems from a fundamental observation: a learner portal is not an IT project, but rather a user experience project that must be sustainable over time.

We build a unified interface where students can find what they seek within three clicks: timetables synchronised with their personal calendars, marks accessible upon publication, downloadable administrative documents. This same database becomes, following graduation, the foundation of the alumni network. The profile transforms, access rights evolve, but the identity remains.

The directory enables searches by year group, sector, location, and skills. The mentoring system automatically connects individuals based on criteria defined by your teams. Job opportunities are sourced from partner companies and former recruiters. Fundraising campaigns are built upon genuine segmentation: estimated contributory capacity, past engagement, geographical proximity to the institution.

Everything is measurable, everything is adjustable.

04 — ARCHITECTURE & TECH

Technical Architecture

Three-step diagram linked by arrows: user sign-in, then self-service request, then tracking and notification.

Identify the user, let them act on their own, keep them informed: One-Stop Citizen Service Centres and VIP Member Portal work the same way.

05 — DEPLOYMENT METHODOLOGY

Smooth and frictionless integration

We connect to your existing student information system: whether it be Aurion, Hyperplanning, SAGHE or an internal development. Data remains master in your source systems, the portal displays and enriches it without creating duplicates. Authentication relies on your directory (Active Directory, LDAP, SSO federation). Migration of existing alumni data is carried out through progressive import with deduplication.

No disruption: legacy tools can coexist during the transition period.

01

Audit of user journeys

Mapping of current student and alumni pain points, analysis of data flows between student services, careers and communication.

02

Design of the unified experience

Functional wireframes validated with your teams and a panel of users, definition of transition rules from student to alumni.

03

Cohort deployment

Launch on a pilot cohort, adjustments based on actual usage, then progressive extension to other populations.

04

Activation of the alumni network

Campaign to migrate alumni, implementation of mentoring and job board, first fundraising operation with proper tools.

07 — FREQUENTLY ASKED QUESTIONS

Clarifying your decision-making

How to convince alumni to create their profile when they are already on LinkedIn?

LinkedIn gives no access to a year group’s qualified directory, nor to opportunities reserved for the network, nor to the chance to mentor a student from one’s former school. The portal creates that exclusive value. In the first months, recent cohorts and the most engaged alumni are targeted to reach critical mass.

Our alumni data is in a dreadful state, where should we begin?

The starting point is the reliable part of your data: the five most recent cohorts, taken directly from academic records. Historical data is then handled through progressive reactivation campaigns. Three thousand qualified profiles are worth more than fifteen thousand obsolete addresses, and cleansing happens as you go.
